How to apply for Japan Visa Exemption Registration online

Indonesian and Qatari nationals traveling to Japan VISA-FREE as tourists must obtain Visa Exemption Registration before the trip.

Applying for the Japan Visa Exemption Registration is required for Indonesian and Qatari nationals holding ePassports and currently residing in their respective countries.

The submitted application is sent to the Japanese diplomatic mission that has jurisdiction over your place of residence.

Only Indonesian and Qatari nationals holding an ePassport and residing in their respective countries are eligible to apply for the Japan Visa Exemption Registration online.

You can apply while traveling abroad, but your usual place of residence must be in your country. That is, Indonesians residing in Indonesia and Qataris residing in Qatar.

If you are from Indonesia or Qatar but do not hold an ePassport, then you must apply for a Japan tourist visa or Japan eVisa if eligible.

Requirements

  • You must be a national of Indonesia or Qatar
  • Your passport must be an ePassport (biometric passport with an electronic chip)
  • The purpose of your trip must be tourism, business or a family visit

Validity

Visa Exemption Registration obtained online is valid for 3 years or until the expiration of your passport, whichever is earlier. If you renew your passport, your Visa Exemption Registration becomes invalid. You must apply for a fresh Visa Exemption Registration.

Visa Exemption Registration is multiple-entry.

Duration of stay

Duration of stay depends on the nationality.

  • Indonesian nationals: 15 days
  • Qatari nationals: 30 days

Processing time

Once the Japanese embassy accepts your application, the processing takes 2 working days from that point.

If your application is not complete or needs more information or documents, the Japanese embassy will not accept your application. Instead, they will contact you requesting missing information or documents. Once you provide them with the missing ones and they accept them, then your processing time starts. It’s 2 working days from that point.

You are allowed to apply for Visa Exemption Registration up to 14 weeks (about 3 months) before your trip. The processing takes 2 working days.

Applying for the Visa Exemption Registration is FREE of cost for both Indonesian and Qatari nationals.

You need the following documents before starting the application.

  • Passport biodata page
  • Passport cover page
  • Passport endorsement page (pages 2-3 and 4-5)

These documents can be in the form of a photo or a scan. They must be in JPG, PNG, HEIC (iPhone) or PDF formats only. The file size cannot be more than 2MB.

  • Go to the official Japanese Visa Exemption System (JAVES) website
  • Click on the “Register an email address” button.

Enter the following information.

  • Email address [Instruction: Enter your email address]
  • Language [Instruction: Select your preferred language]
  • Nationality [Instruction: Select your nationality – Indonesia or Qatar]
  • Country [Instruction: Select your country of residence – Indonesia or Qatar]
  • State, province, etc. [Instruction: Select your state/province of residence]

Click on the “Check” button.

On the next screen, review the entered information and click on the “Register” button.

On the next screen, you will be instructed to check your email inbox and click the link in your email to continue.

Go to your email inbox, find the email with the subject “Japan Visa Exemption System [Notification of completion of temporary account registration]”.

Click the link in the email to complete the registration. You will then be taken to the JAVES home page.

On the JAVES “Home” screen, click on the blue “New Registration” button to begin your registration process.

Upload the following:

  • Passport bio-data page [Instruction: Upload a photo or scan of your passport bio-data page]
  • Passport cover page [Instruction: Upload a photo or scan of your passport cover page]
  • Passport endorsement pages [Instruction: Upload a photo or scan of your passport endorsement page, usually it’s pages 2-3 and 4-5]

Enter the following:

  • Family name [Instruction: Enter your family name. If you have only one name in your passport, enter it here.]
  • Given and middle names [Instruction: Enter your given and middle names here. If you have only one name in your passport, check the box underneath it.]
  • Date of birth [Instruction: Enter your date of birth as per your passport]
  • Nationality [Instruction: Non-editable as the nationality will be automatically displayed from your account registration]
  • Gender [Instruction: Select your gender as per your passport]
  • Passport type [Instruction: Non-editable as the passport type will be automatically displayed from your account registration]
  • Passport number [Instruction: Enter your passport number]
  • Passport issuance date [Instruction: Enter your passport issue date]
  • Passport expiry date [Instruction: Enter your passport expiration date]
  • Scheduled date of entry into Japan [Instruction: Enter your intended date of entry into Japan]
  • Scheduled date of departure from Japan [Instruction: Enter your intended date of exit from Japan]
  • Country or region [Instruction: Non-editable as the country will be automatically displayed]
  • State, province, etc. [Instruction: Non-editable as the state/province will be automatically displayed
  • Current address [Instruction: Enter your current residential address]
  • Contact information [Instruction: Enter your mobile phone number]

NOTE: If you have only one name in your passport, enter that single name in the “Family Name” field. Then check the box under the “Given and middle names” field.

Section: Identify verification

Are you the applicant? If you are a proxy, enter your name [Instruction: Select “No”. If you are applying for someone else, select “Yes” and enter your full name here.]

Click on the “Check” button.

Step 3: Check application details

Review all your details and click the “Submit” button.

Steps to track application status

Once the application is submitted, it is sent to the Japanese embassy or consulate that has jurisdiction over your current place of residence.

To view the status of your application, log in to your account and go to the “Application List” page. Your application can be in any of the following statuses.

  • Submitted: Your application has been submitted
  • Temporarily received: The Japanese embassy has received your application
  • Application in progress: The Japanese embassy is processing your application
  • Application completed: The Japanese embassy has approved your application

Once your application is approved, you will receive an email notifying you that your Visa Exemption Registration was successful.

You can go to the “Application list” page and download a PDF copy of your Visa Exemption Notice for your records.

How to display Visa Exemption Registration Notice

Upon arrival, you are required to display your Visa Exemption Registration Notice on your mobile phone. PDF prints are not accepted. Follow the steps below.

If you have applied yourself:

  • Using a browser on your mobile phone, go to the JAVES website
  • Log in to your account and go to the “Application List” page
  • Select your current Visa Exemption Registration and click on the “Visa Exemption Registration Notice (to display)” button
  • Your Visa Exemption Registration will be displayed with a countdown timer

If someone has applied on your behalf:

  • Obtain the PDF copy of your approved Visa Exemption Registration Notice
  • Scan the QR code on it with your mobile phone
  • Enter your passport number and date of birth
  • The Visa Exemption Registration Notice will be displayed with a countdown timer

The countdown timer is very important as it confirms the authenticity of the Visa Exemption Registration. The airline check-in staff and immigration will reject if the countdown timer is not displayed.

After your Visa Exemption Registration is approved, try to displaying it on your mobile phone to make sure everything is working fine. That way, you will be familiar with the process, and you can quickly display it on your mobile phone during check-in and immigration.

This Visa Exemption Registration must be displayed on your mobile phone. If a child or dependent, it can be on the guardian’s phone.

The check-in staff or immigration cannot use their phones because you’ll have to log in to JAVES or input your passport number and date of birth. So it has to be on your mobile phone. Therefore, make sure your phone is fully charged when you approach the check-in desk and immigration upon arrival.
